Help Desk Executive

Job Description

Manage the front office area, welcome visitors, and answer phone calls. Also help with administrative tasks like scheduling appointments and organizing files.

Strong communication and interpersonal skills
Proficiency in MS Office (Word, Excel, PowerPoint)
Professional phone etiquette and ability to manage front desk operations
Multitasking and problem-solving skills
Customer service orientation
Ability to coordinate with internal teams and external visitors

Key Responsibilities

  • Answering phone calls: Answer incoming phone calls and direct them to the appropriate staff member or department. 

  • Handling mail and packages: Receive, sort, and distribute mail and packages. 

  • Scheduling appointments: Schedule appointments and meetings. 

  • Maintaining records: Maintain employee and department directories, and keep records of visitor badges. 

  • Maintaining supplies: Order front office supplies and keep the inventory of stock. 

  • Providing customer service: Address visitors' queries and ensure their needs are met promptly. 

  • Maintaining security: Maintain security and telecommunications systems. 

  • Reception area: Ensure the reception area is tidy and well-organized. Arrange seating, check reading materials, and make sure everything is in place. 

  • Greeting visitors: Welcome visitors and clients in a professional and courteous manner.
